Export records

Learn how to export records and download export files within the simplified cataloging interface in WorldShare Record Manager.

Overview

You can export a MARC 21 WorldCat bibliographic record:

  • Using a TCP/IP connection (export immediately from the bibliographic record page or export records in a list)
  • Descargar el archivo a través del navegador (exportar registros en una lista)

Any export lists that have not been modified in the last 30 days are automatically deleted to clean up expired lists.

 Note: All exported bibliographic records will include embedded local bibliographic data fields.

Create a new export list

Después de crear una lista de exportación, puede añadirle registros para poder exportarlos posteriormente. También puede crear una nueva lista de exportación cuando añada un registro a una lista de exportación.

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. Click Create list.
  3. In the Create bibliographic export list dialog, enter a name for your new export list in the Export list name field.
  4. (Optional). Select how you would like your export list to appear.
    • Select the Set as default check box if you want this new list to be the default export list that appears at the top of the dialog when adding records to an export list.
    • Select Set as "My list" check box to keep the list restricted to yourself. When not selected, the list is shared institution-wide.
  5. Click Create. A confirmation message appears which states that the new export list has been created.

Add bibliographic records to an export list

Add a bibliographic record to a new export list

  1. From the MARC 21 editor, click Record > Send to > Export List....
  2. Haga clic en Nueva lista.
  3. In the Export List Name text field, enter the name of your new export list.
  4. (Opcional) Seleccione cómo desea que aparezca su lista de exportación.
    • Select the Make Default check box if you want the new list to be the default export list that appears at the top of the dialog when adding records to an export list.
    • Select the My List check box to keep the list restricted to yourself. When not selected, the list is shared institution-wide.
  5. Haga clic en Crear y en Añadir a la lista.
  6. Aparecerá un mensaje de confirmación indicando que el sistema ha añadido su registro a la lista de exportación. 
  7. (Optional) To view your record in the export list:
    • Haga clic en el nombre de la lista de exportación que aparece en el mensaje de confirmación.
    • Para navegar hasta la lista de exportación, consulte Ver listas de exportación.

Add a bibliographic record to an existing export list

  1. From the MARC 21 editor, click Record > Send to > Export List....
  2. Seleccione el nombre de una lista de exportación en la lista Lista de exportaciones y, a continuación, haga clic en Añadir
  3. Aparecerá un mensaje de confirmación indicando que el sistema ha añadido su registro a la lista de exportación. 
  4. (Optional) To view your record in the export list:
    • Haga clic en el nombre de la lista de exportación que aparece en el mensaje de confirmación.
    • Para navegar hasta la lista de exportación, consulte Ver listas de exportación.

Delete bibliographic records from an export list

Delete bibliographic record(s) from an export list

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. Haga clic en el nombre de una lista de exportación para ver los registros que contiene.
  3. Select the check box next to the record(s) you want to delete.
    Or
    Select the check box at the very top of the list to select all records on the list.
  4. Click the Delete button at the top of the list.

     Note: You must select at least one record to activate the Delete button.

Delete a bibliographic export list

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. In the Actions column for the list you would like to delete, click the three dots to expand your options.
  3. Select Delete list.
  4. From the Delete bibliographic record export list(s) dialog, click Delete.

 Note: Holdings must be set on a record before it can be sent to an export list or individually exported.

Export an individual MARC 21 WorldCat bibliographic record using TCP/IP

In order to export records with TCP/IP, you must have it profiled in your export preferences.

  1. From the bibliographic record screen, click Send to.
  2. From the Send to drop-down menu, select Local System.

 Nota: Las instituciones con un firewall deben configurarlo para que reconozca y acepte datos de la siguiente dirección IP a fin de exportar registros directamente desde OCLC a un ILS: 132.174.100.234

  1. In the left navigation, select Export Lists. Bibliographic record export lists are displayed by default.
  2. Click the name of the list you want to export.
  3. (Optional) If you would like to remove any records from the export, select the check box next to the record(s), then click the Delete button at the top of the list.
  4. Click Export and select Send to local system (via TCP/IP) from the drop-down menu.

Export a list of records to your local machine 

  1. In the left navigation, select Export Lists. Bibliographic record export lists are displayed by default.
  2. Haga clic en el nombre de la lista que desea exportar.
  3. (Optional) If you would like to remove any records from the export, select the check box next to the record(s), then click the Delete button at the top of the list.
  4. Click Export and select Send to my computer from the drop-down menu. Depending on your individual browser settings, the exported file automatically downloads to a pre-selected file location, or the browser prompts you to open or save the exported file.
  5. Select Save File and then click OK.

View export lists

When working with bibliographic records, you can identify records that you want to export and place them in sets of export lists that you can export at a later time.

To view all bibliographic record export lists, navigate to Export Lists.

View a list of bibliographic records for exporting

All records that you export using a list are stored in separate sets of lists. Each list can be opened so that you can perform actions on the export records.

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. Click the name of the list you want to view.
  3. (Optional) If you want to return to the all exports lists view, click Return to export lists.

Set a default export list

The export list you set as your default will appear at the top of the dialog when adding records to an export list.

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. In the Actions column for the list you would like to set as default, click the three dots to expand your options.
  3. Select Set as default.
  4. A Default chip will display next to the name of the export list.
