Connexion client: Authority control 1:42 pm - 3:13 pm Thursday, March 14, 2024 | (UTC-04:00) Eastern Time (US & Canada) WEBVTT 1 Crystal Rodriguez 00:18:49.500 --> 00:18:49.860 Okay. 2 Crystal Rodriguez 00:18:51.700 --> 00:19:05.340 So welcome to today's session on connection client E authority control. my name is Crystal Rodriguez. I am a product trainer with our member education team here at OCLC. So just diving right in. 3 Crystal Rodriguez 00:19:07.180 --> 00:19:27.420 If you're an original catalogger or you are editing existing Worldcat records, then you need to know how to search for authority records and how to apply authority control to billing graphic records. Your patronts will benefit by having consistent forms of headings in biographic records enabling them to easily and efficient. 4 Crystal Rodriguez 00:19:27.820 --> 00:19:29.380 Find the resources that they need. 5 Crystal Rodriguez 00:19:34.220 --> 00:19:51.820 After today's session, you should be, so you should have a better understanding of authority records, their purpose, and the structure. You should know how to control headings in videographic records, search and browse library of Congress or LC authorities, and then export authority records. 6 Crystal Rodriguez 00:19:59.100 --> 00:20:02.660 An authority record is a mark record that shows the authoritative. 7 Crystal Rodriguez 00:20:03.980 --> 00:20:21.900 Or established form of a name, personal or corporate, title, uniform title, series title, or subject, used in a library catalog of bibliographic records. This can also be referred to as an authorized access point or heading. 8 Crystal Rodriguez 00:20:29.820 --> 00:20:48.820 Authority records serve as a way of authority control. That is to say the procedures by which consistency of form is maintained in the a form mentioned headings within a bibiographic record. An authority record may also contain C or C also references, providing cross reference. 9 Crystal Rodriguez 00:20:50.180 --> 00:21:09.020 To the authorized, the, sorry, to author authorized form of the heading. The record helps to disambiguate similar or identical headings by providing additional information about a name such as a middle name or dates. Lastly, they help to co locate similar things. 10 Crystal Rodriguez 00:21:09.940 --> 00:21:17.540 Such as bringing various manifestations of a uniform title together. We will see examples of this as we move through the class. 11 Crystal Rodriguez 00:21:24.180 --> 00:21:41.180 Just like in Mark bibliographic records, authority records contain fixed field elements or a leader and an OO eight field. Along with variable fields. variable fields consist of three character tags, two indicators, and sub field delimiters with a sub field code. 12 Crystal Rodriguez 00:21:42.540 --> 00:22:02.780 Here you see the main variable fields in an authority record. The first character of the tag indicates the function of that tag and the xxs here indicate that the second and third characters will vary depending on what type of heading it is. So, a one XX and an authority record is the. 13 Crystal Rodriguez 00:22:03.060 --> 00:22:10.700 Authorized or established form of the heading. The three XX fields include additional attributes usually about a person. 14 Crystal Rodriguez 00:22:12.060 --> 00:22:25.660 The four XX fields are the C references. It is important to note that the four XX fields of authority records are not valid in billographic records, but they serve as cross references to the valid form of the heading. 15 Crystal Rodriguez 00:22:27.660 --> 00:22:47.500 The five XX fields are the C also references, which are related headings. Five XX fields are valid in billiographic record, and they will have their own separate authority record. The six XX fields are notes that were used in establishing the identity. Lastly, the. 16 Crystal Rodriguez 00:22:47.860 --> 00:22:56.740 Seven XX fields are linking entries. There are several different types, but one example would be an equivalent heading and another the source. 17 Crystal Rodriguez 00:23:00.020 --> 00:23:18.980 Moving forward, the second and third characters, which indicate the type of heading apply for the one XX, four XX and five XX along with the seven XX. The second and third characters of the tag will be zero zero if the heading is a personal name. The. 18 Crystal Rodriguez 00:23:19.140 --> 00:23:35.140 The second and third characters will be one zero for a corporate name heading and they will be five zero four topical subject heading and so on. So, trying to illustrate that here on this slide, but, if you have any questions about that, feel free to add that in the chat. 19 Crystal Rodriguez 00:23:39.820 --> 00:23:40.140 Okay. 20 Crystal Rodriguez 00:23:42.180 --> 00:24:01.820 So we will not cover Mark authority record format in any greater detail in this class, but you can find helpful information on Mark authority records on the library of Congress website. And this link is also included in the learner guide for this class, which I'm gonna grab for you here in just a moment. Grab that link and put that in the chat for you. 21 Crystal Rodriguez 00:24:06.700 --> 00:24:22.740 So that link is the learner guide for this class, which also is available on our registration site where you signed in or where you registered. and it within that link you will find additional information on authority control or authority record formatting. 22 Crystal Rodriguez 00:24:25.180 --> 00:24:25.460 Okay. 23 Crystal Rodriguez 00:24:31.500 --> 00:24:40.420 We've briefly looked at authority record structure and the purpose of authority records. Now let's define what we mean by controlling headings and why this is important. 24 Crystal Rodriguez 00:24:42.700 --> 00:25:02.620 When we control headings, we link headings in buildographic records to their matching authority records or the established form of the heading if available. Controlled headings in a bibligraphic record will automatically be updated if the linked authority record changes. Within Connection Client, the control. 25 Crystal Rodriguez 00:25:03.180 --> 00:25:08.020 Heading link in a building graphic record, opens the authority record in a separate window. 26 Crystal Rodriguez 00:25:15.060 --> 00:25:19.060 Here you see the LC name authority record for Prince Harry on the left. 27 Crystal Rodriguez 00:25:20.900 --> 00:25:28.020 Highlighted here it shows Harry with the subfield C prince comma Duke of sussex, subfield D nineteen eighty four. 28 Crystal Rodriguez 00:25:30.860 --> 00:25:32.900 With no deaf date as he is still alive. 29 Crystal Rodriguez 00:25:36.140 --> 00:25:54.100 The name as it appears in the authority record is how it should appear in a biographic record. On the right, you can see the bibliographic record with the one hundred field as it shows in the authority record. You can see that the heading in the bibliographic record is controlled or linked to the authority record. Because you see a blue. 30 Crystal Rodriguez 00:25:55.540 --> 00:26:15.780 Underlying hyperlink. In connection, if you click on this, the authority record will open in another window. Authority tag one hundred controls name headings in a buildographic record. That is the one hundred or seven hundred as well as the six hundred when the name is used as a subject. Note the four hundred fields. 31 Crystal Rodriguez 00:26:15.860 --> 00:26:22.060 In the authority record are cross references or C references for the authorized form of Prince Harry. 32 Crystal Rodriguez 00:26:27.820 --> 00:26:45.860 So when do you use control headings? You should use the control headings action when a heading on a Worldcat record is not controlled. When you add a new heading to a Worldcat record or when you add a new world, new record to Worldcat, you will need to replace the Worldcat record to retain the changes. 33 Crystal Rodriguez 00:26:54.940 --> 00:27:14.900 Here you see the fields within a biliographic record that have controllable LC headings. Those include the one XX and seven XX name headings, the six XXX send it second indicator zero subject headings, the six five five second indicator seven genre headings with the sub field two. 34 Crystal Rodriguez 00:27:15.420 --> 00:27:21.220 Of C G F T and the eight XX series added entries headings. 35 Crystal Rodriguez 00:27:26.460 --> 00:27:34.260 And here is an example of a biographic record in connection with controlled LCASH or library of Congress subject headings. 36 Crystal Rodriguez 00:27:35.860 --> 00:27:54.620 In connection, you will see additional headings with the authority record control number showing. But the controlled link will not appear. As you can see here on this screen, starting with the six hundred first indicator one, second indicator two, and below, you see those additional headings. 37 Crystal Rodriguez 00:27:56.900 --> 00:28:16.460 And that's because only the library of Congress names and subjects they source is available in connection. However, these headings can be controlled through world share, Record manager, and many are controlled through OCLC automated processes. These headings should not be deleted from the Worldcat record. However, you can remove them. 38 Crystal Rodriguez 00:28:16.740 --> 00:28:23.900 Before exporting your record for adding to your local system. Simply do not perform the replace action to remove these. 39 Crystal Rodriguez 00:28:30.540 --> 00:28:50.620 So this table shows the one XX authority record tags for the authorized form of a heading and the bibliographic tags that each controls. For example, the one hundred personal name heading in an authority record controls personal name headings in one hundred, six hundred, seven hundred, and e. 40 Crystal Rodriguez 00:28:50.860 --> 00:29:02.420 Hundred of a bibliographic record. And the one fifty heading for a subject authority record controls the six fifty subject headings in a biliographic record, and so on. 41 Crystal Rodriguez 00:29:04.140 --> 00:29:10.700 Also note, the last four headings here which show controllable sub fields with six XX biographic tags. 42 Crystal Rodriguez 00:29:19.580 --> 00:29:34.860 In connection client, you can control all headings in a biographic record at the same time or just control a single heading. At times you may want to edit a controlled heading. You'll use the replace action to retain the authority controls. 43 Crystal Rodriguez 00:29:36.980 --> 00:29:48.260 Okay, Taking a pause here to see if there's any questions, I don't see any yet. but I do actually want to go ahead and ask you all a couple questions. So let me get that ready for you here, just be a moment. 44 Crystal Rodriguez 00:29:50.900 --> 00:29:51.940 While I pull that up. 45 Crystal Rodriguez 00:29:54.420 --> 00:29:59.380 Sorry about that. Okay, so I'm gonna go ahead and launch this question for you so you should be seeing that come up on your screen. 46 Crystal Rodriguez 00:30:01.300 --> 00:30:04.780 What field in the authority record contains the C also reference. 47 Crystal Rodriguez 00:30:06.340 --> 00:30:14.100 Is that the field for XX? The six seventy, the one XX fields or the five xx fields? 48 Crystal Rodriguez 00:30:24.900 --> 00:30:26.380 We'll give you all a few moments to answer that. 49 Crystal Rodriguez 00:30:40.740 --> 00:30:45.580 Okay it looks like just about everybody's had the chance to answer that, so we'll go ahead and show that answer. 50 Crystal Rodriguez 00:30:51.340 --> 00:31:05.300 So the correct answer is the five XX fields, the five hundred five ten, five fifty. Those are gonna be your C also references. Alright, and I do have one more question. At this time for you. 51 Crystal Rodriguez 00:31:07.020 --> 00:31:20.420 Let me pull that up. So if the heading in the authority record changes, the controlled heading in the world cap biographic record is updated. Is that true or false? You should be seeing that poll for you to respond. 52 Crystal Rodriguez 00:31:48.060 --> 00:31:49.940 Looks like just about everybody's had a chance to answer that. 53 Crystal Rodriguez 00:31:51.860 --> 00:32:12.180 And the answer there is true, and that's one of the main reasons, again, that we want to control headings because then the controlled heading will be automatically updated within the world cap bibiographic record. Okay, so with those questions out of the way, let's go ahead and actually start looking at connection. So I'm going to open up my connection for you. 54 Crystal Rodriguez 00:32:12.420 --> 00:32:13.100 Here and log on. 55 Crystal Rodriguez 00:32:19.540 --> 00:32:25.140 Alright, so we're gonna start by taking a look at controlling headings in connection client. 56 Crystal Rodriguez 00:32:27.700 --> 00:32:33.180 And I'm gonna start with controlling all headings in a record. So let me pull up a record that I have saved here. 57 Crystal Rodriguez 00:32:39.260 --> 00:32:40.700 Bear with me as I get that one open for you. 58 Crystal Rodriguez 00:32:46.540 --> 00:32:54.140 So first of all, you may note that this record has been shows that it's been edited. That's just because I saved it to a local safe file for this class. 59 Crystal Rodriguez 00:32:56.580 --> 00:32:59.660 I'm just for, to be able to demonstrate. 60 Crystal Rodriguez 00:33:01.900 --> 00:33:05.700 Okay, so looking at the record right now, we see that there are no. 61 Crystal Rodriguez 00:33:07.980 --> 00:33:27.740 Underlined or controlled headings, so we want to go ahead and control our headings, but before we do that, I want to add a an additional heading here. So I'm going to go to the end of the six fifty fields and just hit enter to add an extra field, and I want to add in a six fifty with a second indicator of zero. 62 Crystal Rodriguez 00:33:28.460 --> 00:33:30.380 And I'm gonna add in historic places. 63 Crystal Rodriguez 00:33:32.940 --> 00:33:35.420 With a sub field V of guide books. 64 Crystal Rodriguez 00:33:41.300 --> 00:33:59.540 And now with that added, I'm going to control my headings. So to control all headings, I can use the edit menu. I can use shift F eleven or if you have your toolbar set up, you can choose your toolbar buttons up, which I show I'm showing here at the top I have. 65 Crystal Rodriguez 00:33:59.780 --> 00:34:14.500 The toolbar of edit control headings all. but I'm actually gonna go ahead and just so you see I'm gonna go to the menu, so I'm gonna click on edit, and then control headings, and I'm gonna choose all, and I want to point out that this is gonna move pretty quickly. 66 Crystal Rodriguez 00:34:16.419 --> 00:34:22.220 So pay close attention to what happens to those six fifty five fields. So I'm going to click all. 67 Crystal Rodriguez 00:34:23.620 --> 00:34:36.060 And connection does its work and I get a note notice letting me know that one or more of my headings were controlled, and then I may need to control some headings individually. We'll talk a little bit more about that individual in a moment. 68 Crystal Rodriguez 00:34:38.179 --> 00:34:39.980 So I'm gonna go ahead and just click ok to remove that. 69 Crystal Rodriguez 00:34:41.419 --> 00:34:48.860 And if we scroll down, now we see that my subject headings are all, underlined or controlled. 70 Crystal Rodriguez 00:34:52.260 --> 00:35:10.820 So we see those three headings that were already there, the hiking guide books, trails guide books, and world history. And then we see that the heading that we just added at the end of the record, which we had added historic places guide books was changed to historic sites guide books. So let's review the authority record to determ. 71 Crystal Rodriguez 00:35:11.060 --> 00:35:31.100 Why that is. Oops. So to do that, I'm just gonna go ahead and click on the link for historic rec historic sites, and that opens up the record in a separate window and connection. And here we see the one fifty field which is our authorized form of historic sites, and we. 72 Crystal Rodriguez 00:35:31.420 --> 00:35:50.700 See that historic places is a four fifty or a C reference. Now, to gain some additional information about these fields, we can go ahead and use mark field help. So I'm going to go ahead and click on this four fifty historic places, and I'm gonna right click and choose Mark Field Help. 73 Crystal Rodriguez 00:35:52.420 --> 00:36:05.220 And when I do that, the mark field information for this authority record does open up for me, and here I see that it explains that a four fifty is a C from or C C from tracing topical term. 74 Crystal Rodriguez 00:36:06.660 --> 00:36:12.620 And so I can tell that that's not the authorized form. So I'm gonna go back over to connection here. 75 Crystal Rodriguez 00:36:15.780 --> 00:36:26.620 So what happened was the connection just automatically flipped my historic places to the authorized form of historic sites. I'm gonna go ahead and close that. 76 Crystal Rodriguez 00:36:35.540 --> 00:36:55.700 So now back on this record, we see that the author is not controlled. So why did that happen? This can happen when there is no exact match or there are multiple records that match partially or this can also happen if this is an unqualified personal name match. unqualified. 77 Crystal Rodriguez 00:36:55.900 --> 00:37:15.180 Means that the heading has only a sub field A, for example, no dates or a fuller form of the name. Connection will not automatically control an unqualified personal name to ensure that users take the time to view an exact match and consider whether he matches appropriate. So we're gonna do that. 78 Crystal Rodriguez 00:37:16.340 --> 00:37:36.700 And this is an opportunity to demonstrate controlling a single heading, so I'm going to go ahead and control just the author, and again, I have a couple of options. I can either use the edit menu, my F eleven or toolbar, but I'm gonna go actually use the right click option in that field, and I'm just going to choose control single. 79 Crystal Rodriguez 00:37:36.900 --> 00:37:37.100 Heading. 80 Crystal Rodriguez 00:37:38.780 --> 00:37:53.500 And when I do that, I get a box that opens up and there is a note there that says the requested control is for an unqualified personal name. So that explains why I'm having to control this heading individually. 81 Crystal Rodriguez 00:37:56.700 --> 00:38:02.740 Now if we click on this hyperlink of the author's name, that'll take us to the authority record. So I'm going to go ahead and do that. 82 Crystal Rodriguez 00:38:04.580 --> 00:38:05.540 And pull that over here. 83 Crystal Rodriguez 00:38:07.540 --> 00:38:27.140 And here we can review some additional information about this author so that we can confirm if this is the correct author. And in our case, we see that these six seventy reference here is for the same book that we're looking at. So it's the safe assumption that that is the correct author. so I'm gonna go ahead and close this authority record. 84 Crystal Rodriguez 00:38:28.580 --> 00:38:40.060 And go back to my control heading screen here, and you'll see that there's two options to either modify or heading or insert your heading. Because I know that this is the correct author, I'm going to go ahead and click on insert heading. 85 Crystal Rodriguez 00:38:41.500 --> 00:38:46.380 And when I do that, now myth my author is controlled. 86 Crystal Rodriguez 00:38:48.540 --> 00:38:53.660 Okay, just taking a break to see if there's any questions coming about that. I don't see anything so far. 87 Crystal Rodriguez 00:38:55.620 --> 00:39:01.180 Okay, I'm gonna go ahead and just close this record. I'm not gonna save it for today's purposes. 88 Crystal Rodriguez 00:39:04.740 --> 00:39:07.100 Alright, I'm gonna open up another record here. 89 Crystal Rodriguez 00:39:09.660 --> 00:39:29.060 So sometimes you encounter a heading controlled by multiple authority records such as subject headings with multiple controllable sub fields or subdivision headings. Let's take a look at this example and review the subfields. So scrolling down a little bit, we'll see the example of that. So we see the subject headings here that are. 90 Crystal Rodriguez 00:39:29.580 --> 00:39:37.260 Each sub field is controlled, and these are, these each have their own authority record, and we're gonna review a little bit about that. 91 Crystal Rodriguez 00:39:39.100 --> 00:39:47.620 So we're gonna take a look at the six fifty earthquakes subfield X economic aspects, subfield Z California, Subfield. 92 Crystal Rodriguez 00:39:49.260 --> 00:39:51.140 X computer simulation. 93 Crystal Rodriguez 00:39:55.820 --> 00:40:15.820 This one. So in this example, earthquakes, which is in the sub field A, is the main heading. Economic aspects in the sub field X is a free floating topical subdivision. Free floating refers to a form or topical subdivision that maybe used under designated subjects without the usage being established with an. 94 Crystal Rodriguez 00:40:16.140 --> 00:40:34.380 Authority record being created for each main heading or subdivision combination. in this case California is in the subfield Z That is a geographic subdivision, and computer simulation is another free floating topical subdivision. So I'm going to click on earthquakes. 95 Crystal Rodriguez 00:40:36.540 --> 00:40:48.100 To view that authority record. And when I do that, I can see that the fixed field element geo subdivision or G G E O S U B D here that I'm highlighting. 96 Crystal Rodriguez 00:40:51.660 --> 00:41:09.660 That, that that that indicates that the heading can be subdivided geographically as there is an eye here. So to learn a little bit more about that, I can actually click on that hyperlink and be taken to the documentation for that item, and here we see that the. 97 Crystal Rodriguez 00:41:10.020 --> 00:41:24.340 That, that fixed field of geo sub indicates a sub field I means that that can be subdivided geographically indirect. So that indicates that we can subdivide that, sorry here. 98 Crystal Rodriguez 00:41:28.700 --> 00:41:29.020 Okay. 99 Crystal Rodriguez 00:41:32.300 --> 00:41:50.820 Now the authority record doesn't say that earthquakes maybe subdivided by economic aspects, so how does connection know that subfield X economic aspects is valid? So determine that, let's close this earthquakes authority record, and let's look at the authority record for economic aspects by clicking on that link. 100 Crystal Rodriguez 00:41:54.780 --> 00:42:07.340 And here we note that the six eighty states to use this as a topical subdivision under topical headings. So that is how connection knows the validity of that. So I'm gonna close that. 101 Crystal Rodriguez 00:42:08.860 --> 00:42:11.100 And let's look at computer simulation. 102 Crystal Rodriguez 00:42:14.900 --> 00:42:19.020 So when we look at computer simulation, we note that the geo subdivi division. 103 Crystal Rodriguez 00:42:21.100 --> 00:42:35.780 Fixed field is blank. So blank indicates that that cannot be subdivided geographically. therefore, California has to come before that. So again, going back to looking at our record, we see that California is before computer simulation. 104 Crystal Rodriguez 00:42:39.580 --> 00:42:52.300 Alright, to demonstrate this a little bit further, let's go ahead and add our own subject heading. So I'm gonna go ahead and just scroll down to the end of the record. You could really add this anywhere, but I'm just gonna add it to the end, and I'm going to add in a six fifty. 105 Crystal Rodriguez 00:42:54.260 --> 00:42:58.380 Oops, didn't need to put that in there with a second indicator of zero. 106 Crystal Rodriguez 00:42:59.980 --> 00:43:01.780 And I'm gonna put a natural disasters. 107 Crystal Rodriguez 00:43:05.700 --> 00:43:07.700 With a sub field D. 108 Crystal Rodriguez 00:43:09.660 --> 00:43:11.780 Sorry, subfield X of costs. 109 Crystal Rodriguez 00:43:14.420 --> 00:43:23.780 Okay, so now that I have that in there I want to just control this single heading, I'm gonna use the same option I did before of right clicking, and I'm gonna choose control single heading. 110 Crystal Rodriguez 00:43:26.340 --> 00:43:30.460 And you'll note that that did control both of those sub fields separately. 111 Crystal Rodriguez 00:43:36.820 --> 00:43:37.500 I do see a question? 112 Crystal Rodriguez 00:43:39.060 --> 00:43:42.980 If the terms were added in incorrect order, will they still control even though they are in wrong order? 113 Crystal Rodriguez 00:43:47.060 --> 00:43:51.220 I believe so, I believe yes, the connection would refer it back, but. 114 Crystal Rodriguez 00:43:53.180 --> 00:43:56.900 If there's time I'll test that if not I'll definitely get back to you after the class to confirm. 115 Crystal Rodriguez 00:44:00.340 --> 00:44:08.700 Okay, so moving forward here, let's say that you want to add a sub field Z California to natural disasters. 116 Crystal Rodriguez 00:44:10.420 --> 00:44:30.700 With the subfield D of cost. And actually Michael, this might be a good way to test what you just asked. So let's do that. I'm going to go ahead and I want to edit this rec, authority record. I'm sorry, I want to edit edit this field, so I'm going to first uncontroll the single field in the same way that I controlled it by using that drop. 117 Crystal Rodriguez 00:44:32.340 --> 00:44:33.820 Right click and choosing the dropdown. 118 Crystal Rodriguez 00:44:35.380 --> 00:44:39.420 And Michael, let's go ahead and try this. let's see what happens if we add that sub field D. 119 Crystal Rodriguez 00:44:41.780 --> 00:44:46.820 Or I'm sorry, subfield Z And we put California at the end of our record here. 120 Crystal Rodriguez 00:44:51.380 --> 00:44:56.140 So we're gonna go ahead and now that we've added that, we're going to control this field again. 121 Crystal Rodriguez 00:44:58.420 --> 00:45:17.420 So we're gonna do control single heading, and here's what happens. So I'm gonna get that pop up that gives me the opportunity to review and it shows me that the proper form would have been natural disasters California, cost. So connection's going to. 122 Crystal Rodriguez 00:45:18.180 --> 00:45:20.740 Give me that ability to review a little bit further. 123 Crystal Rodriguez 00:45:27.820 --> 00:45:28.420 Alright, sorry. 124 Crystal Rodriguez 00:45:31.460 --> 00:45:34.380 So in this case then, because the natural disasters is. 125 Crystal Rodriguez 00:45:36.220 --> 00:45:38.500 Highlighted in blue here, that tells us that that can be. 126 Crystal Rodriguez 00:45:41.300 --> 00:45:53.980 That the heading can be geographically subdivided and we actually see that up here in the legend letting us know that. So, because we had typed that in incorrectly, what we want to do is we want to insert this correct heading by clicking on the insert heading. 127 Crystal Rodriguez 00:45:55.700 --> 00:45:58.340 And there we go. So that answered your question. 128 Crystal Rodriguez 00:46:01.740 --> 00:46:18.300 Alright, now just one more thing on this record, for series headings, the controlling function controls the heading while leaving the series number, numbering or the sub field V uncontrolled. As it should be. So here we see that example here in this eight three zero field. 129 Crystal Rodriguez 00:46:20.900 --> 00:46:34.300 The technical report series, we see that that is controlled, but the sub field V is left uncontrolled. So just a note that in those scenarios connection can ignores that sub field V. 130 Crystal Rodriguez 00:46:36.380 --> 00:46:44.220 Okay, so are there any more questions about controlling headings before I move on? I don't see any more coming in. 131 Crystal Rodriguez 00:46:46.580 --> 00:46:49.980 All right I'm gonna jump back to my PowerPoint, but feel free to ask any questions as they come up. 132 Crystal Rodriguez 00:46:51.700 --> 00:47:11.700 Alright, so shifting gears a little bit, I'm gonna discuss searching and browsing authority files. So when you're working with role cap bipographic records, you can search and browse the library of Congress authority file, to determine the correct forms for names or person, names of persons, organizations, conferences or. 133 Crystal Rodriguez 00:47:12.100 --> 00:47:30.460 Titles associated with the resource you are describing. Or when adding subject headings to the worldcap biographic record to determine established headings. You may need to search your browse the authority file if you've already tried to control headings, but the system was not able to find a matching authority record. 134 Crystal Rodriguez 00:47:32.220 --> 00:47:44.260 Sometimes there is not an authority record, so you won't be able to control the heading. Or at least not one until one is, at least not until one is added. But it's a good idea to do a search or browse just to be sure. 135 Crystal Rodriguez 00:47:46.700 --> 00:48:06.460 So searching performs a keyword search, which searches words entered in any order. Browse is an exact phrase search from left to right, and you are initially put into a browse index. From there you can go backwards and forwards in that index, and you would select an index entry to view the associated auth. 136 Crystal Rodriguez 00:48:06.820 --> 00:48:23.260 Records. When browsing personal names, you must use last name, comma, then first name. With expanded browse, you can browse for a heading and include sub fields. For example, a subject heading with subdivisions or a name title heading. 137 Crystal Rodriguez 00:48:25.460 --> 00:48:44.540 Indexes used are mostly the same for browse and search. The options that are only available as search are typically the two least likely to be used, that being the library of Congress control number or the OCLC control number for authority records, the ARN. And there is some additional information. 138 Crystal Rodriguez 00:48:45.660 --> 00:48:54.780 In the learner guide on indexes, and which index indexes can be used for searching. But we'll also see a few of those as we go on. 139 Crystal Rodriguez 00:48:56.620 --> 00:48:56.900 Okay. 140 Crystal Rodriguez 00:48:58.420 --> 00:49:04.820 So let's go ahead and perform some searches. Let me close out of this screen here. I'm gonna not save that record. 141 Crystal Rodriguez 00:49:08.620 --> 00:49:23.100 Alright, so I'm going to start my search in the keyword numeric search area to bring up the search, there's a few options. You can use the authorities menu. You can use shift F two or your toolbar if you have that added onto your toolbar here. 142 Crystal Rodriguez 00:49:24.860 --> 00:49:29.500 So I'm going to actually go ahead and use this time I'm gonna use my toolbar button, and that's gonna open that up for me. 143 Crystal Rodriguez 00:49:31.140 --> 00:49:44.420 It's gonna open the box for me to search and you'll see similar to when you're searching video graphic records, you have the command line search and then you have your keyword numeric search area where you can use the dropdown buttons to pick the correct index. 144 Crystal Rodriguez 00:49:49.740 --> 00:50:08.700 So if you have an LCCN, which is the control number assigned by the library of Congress, spacing the leader leading N and hyphen don't matter. So you can search those in multiple ways. I'm gonna demonstrate a couple of those with one record that I have. So I'm going to look up. 145 Crystal Rodriguez 00:50:10.140 --> 00:50:24.060 And in this case I'm going to add the N with a space, the eight two dash O two, six nine nine eight, and I'm going to make sure to choose LCCN as my, in my dropdown. 146 Crystal Rodriguez 00:50:25.460 --> 00:50:28.980 And then I can either hit enter or click ok I'm gonna go ahead and just click OK. 147 Crystal Rodriguez 00:50:30.620 --> 00:50:34.340 And I get the record for the Philadelphia Philadelphia Eagles football team. 148 Crystal Rodriguez 00:50:36.740 --> 00:50:37.860 Now, if I search. 149 Crystal Rodriguez 00:50:39.700 --> 00:50:42.860 Without those ends I should get the same record. So let me go ahead and do that. 150 Crystal Rodriguez 00:50:44.700 --> 00:50:46.540 And this time I'm just gonna remove that in. 151 Crystal Rodriguez 00:50:47.980 --> 00:50:49.380 And I'll remove the hyphen. 152 Crystal Rodriguez 00:50:51.620 --> 00:51:01.660 And just click OK, and I do get that same record, which I can see the ARN up here the authority record number. I'm actually gonna copy that in case I need it down the road. 153 Crystal Rodriguez 00:51:03.300 --> 00:51:03.540 Okay. 154 Crystal Rodriguez 00:51:08.020 --> 00:51:19.660 So the ARN is oclc's control number. it's a sequential number assigned to authority records as they are added to the authority file. So I'm going to search for a specific ARN, so let's go ahead and close out of that. 155 Crystal Rodriguez 00:51:23.620 --> 00:51:25.060 I'm gonna open up my search box again. 156 Crystal Rodriguez 00:51:27.700 --> 00:51:42.100 And as I mentioned, I can also do a command line search. So in this case I'm going to use the index of A N, which is the index for the authority record number, and I'm gonna add a colon after that, and I'm gonna enter in one, two, three. 157 Crystal Rodriguez 00:51:45.140 --> 00:51:53.780 Nine zero zero, and hit enter. And now I get the authority record for Columbus Crew Soccer Team. 158 Crystal Rodriguez 00:51:56.340 --> 00:52:07.540 So that's just demonstrating that you can use both the command line search if you know those indexes, which are available in the learner guide, as I mentioned or you can use the dropdown. 159 Crystal Rodriguez 00:52:11.860 --> 00:52:23.540 So now my library has a collection of books by Stephen King, and we want to ensure that we are using the authorized form of his name in our bill of graphic records. So I'm going to perform a personal name search. 160 Crystal Rodriguez 00:52:25.860 --> 00:52:31.260 Remember that searches are keyword searches, so the words that searches the words in any order. 161 Crystal Rodriguez 00:52:33.420 --> 00:52:53.180 Personal name searches look at the one hundred, four hundred, five hundred, and seven hundred fields in the authority record. Personal names could be entered as last name comma, first name or king, comma Steven or Steven King with or without that comma. You can enter your search in the. 162 Crystal Rodriguez 00:52:53.820 --> 00:53:13.060 Using index labels, in this case it would be PN for personal name or in the keyword numeric search area entering terms, and then selecting the index from the dropdown. Optionally, you can choose to display the C and C also references in search results. I'm gonna actually open this up for you. So you can see that here. 163 Crystal Rodriguez 00:53:13.860 --> 00:53:34.100 You see the option here to add the C references in results or the C also references in results. And then you also can check the retained search. This is helpful so that you can come back and refine your search if needed. So let's go ahead and perform that search. So I've opened up my search box here. I'm going to. 164 Crystal Rodriguez 00:53:34.220 --> 00:53:38.380 Go ahead and just enter in Stephen King in my search. 165 Crystal Rodriguez 00:53:40.180 --> 00:53:45.020 Under the keyword numeric search area, and I'm gonna change my dropdown here to say personal names. 166 Crystal Rodriguez 00:53:48.980 --> 00:54:04.740 I want to go ahead and click leave the retained search checked because I may need to edit this down the road. I'm not going to At this time I'm not gonna choose to see, show the C references and see also references in results. I'm gonna go ahead and just click ok. 167 Crystal Rodriguez 00:54:06.260 --> 00:54:26.540 And I get a message letting me know that my search resulted in three hundred and fifty nine records and that I can use the view menu to select the next one hundred records if needed. So I'm gonna go ahead and click ok and just show that. So if I go view and then navigate records and lists I can choose the next one hundred. 168 Crystal Rodriguez 00:54:26.940 --> 00:54:34.860 Records. And then if I want to go back, I do the same thing, view, navigate records and list, and go to previous one hundred records. 169 Crystal Rodriguez 00:54:36.380 --> 00:54:38.220 That's just one way to navigate through that list. 170 Crystal Rodriguez 00:54:41.580 --> 00:54:44.060 Okay, so it's hard to tell from the search results list. 171 Crystal Rodriguez 00:54:48.220 --> 00:55:06.100 Why exactly you retrieve? So some of these records. But since it's a keyword search, the words Stephen and King would appear somewhere in each of these records. If you're looking for the authority record for just his name, you may have to scroll a bit. So scrolling down a little bit, we see here these authority record that's King comma Steven. 172 Crystal Rodriguez 00:55:06.660 --> 00:55:10.300 With the birth date of nineteen forty seven and that's just his name. 173 Crystal Rodriguez 00:55:12.300 --> 00:55:17.460 So we're gonna we're gonna take a bet that that might be the right one. so let's take a look at that. 174 Crystal Rodriguez 00:55:19.340 --> 00:55:22.060 That's see, so I'm gonna go ahead and double click at that one. 175 Crystal Rodriguez 00:55:25.540 --> 00:55:34.500 And here we can review a little further the rec, the authority record and we can see, that some, some notes and things like that that explain. 176 Crystal Rodriguez 00:55:35.980 --> 00:55:37.100 A little more detail of who. 177 Crystal Rodriguez 00:55:39.820 --> 00:55:43.060 That this is the Stephen King that the popular Stephen King that we're familiar with. 178 Crystal Rodriguez 00:55:46.020 --> 00:55:53.740 So we see here in the one hundred, the established form of the heading, and then there are many four hundred fields with different variants of his name. 179 Crystal Rodriguez 00:55:55.780 --> 00:56:14.820 These are not valid in bid records remember, but serve the purpose of being a cross reference to the correct form of the heading. And here we also see that there are two five hundred fields which are the C also references. These are relating head related headings. In this case, their alternate identities or pseudonyms that Stephen King has used. 180 Crystal Rodriguez 00:56:17.060 --> 00:56:33.940 So now let's go back and let's perform our search, checking those C also references. So I'm going to go ahead and perform that same search, but this time I'm going to check the show C references in results and show C also references in results. And I'm going to go ahead and click ok. 181 Crystal Rodriguez 00:56:35.980 --> 00:56:38.700 And I do get that notice again, but here you'll see how. 182 Crystal Rodriguez 00:56:40.500 --> 00:56:49.180 The results are grouped together. So if I look here at the Bochman Richard, I see that the real identity of Steven King is listed. 183 Crystal Rodriguez 00:56:50.860 --> 00:56:58.300 So that just helps me to kind of group those together and see those C references together with the Stephen King. 184 Crystal Rodriguez 00:57:00.980 --> 00:57:02.820 Alright, I don't see any questions yet about that. 185 Crystal Rodriguez 00:57:05.460 --> 00:57:05.660 Alright. 186 Crystal Rodriguez 00:57:10.700 --> 00:57:30.140 So as previously mentioned, the browse function within connection client searches for an exact phrase from left to right and will put you into the index at the term that most closely matches the frase you enter. For subjects, you can browse for the main heading or enter a subheading or expanded term. Browse will put you into an. 187 Crystal Rodriguez 00:57:31.060 --> 00:57:35.620 And from there you'll be able to see the number of associated authority records for the headings. 188 Crystal Rodriguez 00:57:37.460 --> 00:57:50.980 So to browse, you again can use your toolbar if you've added that or authorities browse I'm gonna go ahead and use that the LC names and subjects, and then there is also the keyword or the keystroke available if you'd like as well. 189 Crystal Rodriguez 00:57:56.820 --> 00:58:08.940 So this time let's go ahead and browse for Stephen King. Now remember, when browsing in personal names, you must enter last name comma, first name. So I'm going to do that here. ping comma Steven. 190 Crystal Rodriguez 00:58:11.420 --> 00:58:17.740 And I'm going to change my dropdown to personal names. I'm browsing in the personal names. 191 Crystal Rodriguez 00:58:19.620 --> 00:58:20.780 And I'm gonna go ahead and click OK. 192 Crystal Rodriguez 00:58:24.980 --> 00:58:43.260 And here I see several different options for Stephen King. Again, but here, the nice thing about the browse also is I can see the number of records associated to that authority or to that name. So it's here I can see that there are two hundred and eighty nine records associated to Steven Kings so that might be the one I wanna look. 193 Crystal Rodriguez 00:58:44.180 --> 00:58:46.260 So I'm gonna go ahead and do that. I'm gonna double click on that one. 194 Crystal Rodriguez 00:58:47.900 --> 00:59:07.860 Now here's where it's also very important to continue with your review because you can't just stop at the previous screen. So now I have to actually look at the authority record for Stephen King, but here I can see all of those title entries in the five hundreds, we'll talk a little more about what those are in a few minutes. but here I'm gonna double click on Stephen King. 195 Crystal Rodriguez 00:59:09.620 --> 00:59:15.180 And I do get that record again and again, I can review the five hundreds for the C references etc. 196 Crystal Rodriguez 00:59:20.660 --> 00:59:22.460 So let's see, let's go ahead and close out of that. 197 Crystal Rodriguez 00:59:26.820 --> 00:59:40.300 And it's important to remember that you cannot tell from the browse list if a form is correct since the four XX and five XX fields will also be included in that browse result. So that's why we have to continue to click through and look at that full record. 198 Crystal Rodriguez 00:59:42.460 --> 00:59:45.860 Alright, so let's take a look at one more example of this. I'm gonna go ahead and close out of this. 199 Crystal Rodriguez 00:59:48.660 --> 00:59:56.300 And I'm going to browse for most Art this time. So let's look at Mozart comma. 200 Crystal Rodriguez 00:59:57.900 --> 00:59:58.620 Wolf Gang. 201 Crystal Rodriguez 01:00:00.740 --> 01:00:04.220 And again, we're leaving this personal names this time, so we're gonna click OK. 202 Crystal Rodriguez 01:00:07.500 --> 01:00:08.860 And here we see the various. 203 Crystal Rodriguez 01:00:10.620 --> 01:00:21.340 Records for Mozart, so we see mozart Wolfgong Amadez with a couple of different dates here. We also see a little further up if we scroll up a little bit, we'll see the WA. 204 Crystal Rodriguez 01:00:25.740 --> 01:00:34.380 So what we're seeing here are different forms, so to let's take a look at, I want to look at this one that's seventeen ninety one to eighteen forty four. 205 Crystal Rodriguez 01:00:36.020 --> 01:00:36.940 So I'm gonna open that one. 206 Crystal Rodriguez 01:00:39.140 --> 01:00:42.980 And if I look at the four hundred reference I actually see that this is actually referring to. 207 Crystal Rodriguez 01:00:44.700 --> 01:00:59.980 Amadez Son France. I can't say that name's son Franz. so I can see also that that's why the dates different up here on the one hundred. So this would not be the record that I would want to use. So I'm gonna go back to my browse list. 208 Crystal Rodriguez 01:01:03.700 --> 01:01:21.220 And here I'm going to, I note that there are these, there's the one that has seventeen hundred and twenty records. So safe Beth, that's probably the one I want to look at. So let's double click on that. And again, we'll double click on the, to see the authority control at the record itself. And if we scroll through. 209 Crystal Rodriguez 01:01:22.100 --> 01:01:39.940 Then we can see that this is in fact the olf Gang Amadeus Mozart, the composer. we could scroll through and look at some of the six fifty seventy references to make sure that that is the correct individual. but going back, we also can see some other name title entries here. 210 Crystal Rodriguez 01:01:42.100 --> 01:01:48.620 So that leads me into what do we do if we actually want to look for a specific title. 211 Crystal Rodriguez 01:01:50.260 --> 01:02:10.500 Of wolfgun? So let's say we want to look for the Mozarch Jupiter symphony. So you could scroll through these lists until you find the one you want, but that might take a little while. So let's actually go back and we're gonna use the expanded browser option. So if we go back to this screen where we found the list of all. 212 Crystal Rodriguez 01:02:11.300 --> 01:02:15.620 Amadez, we see the option for expanded term up at the top. 213 Crystal Rodriguez 01:02:17.940 --> 01:02:20.420 So I'm going to go ahead and I'm gonna enter in. 214 Crystal Rodriguez 01:02:22.300 --> 01:02:26.740 I'm Jupiter here. I'm gonna just type in Jupyter symphony. 215 Crystal Rodriguez 01:02:29.940 --> 01:02:48.660 And then I can click on the Do expanded scan and when I do that then I'm taken directly to the record for Jupyter symphony, but I do note that that's a four hundred. So again, I would want to double click on that to see the exact record to get the proper form of that name, of that title name title entry. Sorry. 216 Crystal Rodriguez 01:02:51.620 --> 01:03:11.940 Okay, so going back over here, also I did want to show on this browse screen to be able to move through the screen, it's a little bit different than that view option. So here you would actually scroll down, go to the last of the record, and you would use the page down option to then be able to page down to the next or the page up to go back. 217 Crystal Rodriguez 01:03:13.500 --> 01:03:17.540 So just when you're using the browse, just keep in mind that moving through is a little bit different. 218 Crystal Rodriguez 01:03:21.860 --> 01:03:40.740 Now let's say that we want to do our expanded search right from the beginning. We can do that. Our expanded browse, I'm sorry. So let's go ahead and go to authorities browse, LC names and subjects, and we have still retained our Wolfking Mozart Mozart comma wolf Gang personal names, but I want to go ahead and hear on this screen at the I'm gonna add in the. 219 Crystal Rodriguez 01:03:40.980 --> 01:03:44.420 Expanded term of Jupyter symphony. 220 Crystal Rodriguez 01:03:46.140 --> 01:03:47.180 And I'm gonna click OK. 221 Crystal Rodriguez 01:03:50.580 --> 01:04:03.100 And it takes me back to that record and again if I highlight or if I double click that record I can see that the proper form for that symphony would be mozart Wolfgong Amadeos with his birth dates, the subfield T of symphonies, and so on. 222 Crystal Rodriguez 01:04:05.420 --> 01:04:05.740 Okay. 223 Crystal Rodriguez 01:04:09.340 --> 01:04:18.620 Another good use for the expanded browse is looking when you're looking for geographic entries, so let's take a look at that. So let's go to. 224 Crystal Rodriguez 01:04:20.620 --> 01:04:21.740 A different search here. We're gonna. 225 Crystal Rodriguez 01:04:23.580 --> 01:04:42.380 Assume that I have a book about the history of the US civil war. I want to browse all of these terms to find the authority record. So browsing United States as a geographic name with no expanded term would produce over two thousand results. So I'm going to add an expanded term, so I'm gonna search browse for United States. 226 Crystal Rodriguez 01:04:46.260 --> 01:04:49.100 And I'm gonna change the personal names to geographic names. 227 Crystal Rodriguez 01:04:51.420 --> 01:04:57.300 And then under expanded term, I want to put in history, civil war. 228 Crystal Rodriguez 01:04:59.700 --> 01:05:17.740 And I'm going to go ahead and click OK, and here I get the first record I see is history, so award I'm gonna double click on that and I can see the proper form authorized form for United States history civil war. So I would use that as my subject heading. 229 Crystal Rodriguez 01:05:19.940 --> 01:05:20.260 Okay. 230 Crystal Rodriguez 01:05:23.980 --> 01:05:42.460 Now we're gonna take a quick look at a few other options for browsing. So let's take a look at topical indexes. The library of Congress authority file contains both LCSH and children's headings. Children's headings typically do not contain super fluis words like children's or. 231 Crystal Rodriguez 01:05:42.500 --> 01:06:02.860 Or juvenile. They are generally in a direct form, and in many cases use terminology familiar to children. Using these headings will help your younger patrons locate items within your catalog more easily. So while we search, I will point out how to distinguish between LCSH and children's headings. So I'm going to do a cho. 232 Crystal Rodriguez 01:06:03.380 --> 01:06:03.740 A browse. 233 Crystal Rodriguez 01:06:05.660 --> 01:06:06.660 For democracy. 234 Crystal Rodriguez 01:06:08.260 --> 01:06:10.660 And I'm going to search in topical headings. 235 Crystal Rodriguez 01:06:12.060 --> 01:06:14.140 Or topicals, click ok. 236 Crystal Rodriguez 01:06:19.180 --> 01:06:38.380 You know I need to go back and actually redo that I need to uncheck wait, no, it's not doing it. Nope, that's actually correct. Oh, here we go. Sorry, I was I was thinking I would see it a little sooner. here I see democracy has two records, so if I double click on that, I see the first is the LCSH, and I do see a note here that says children's. So. 237 Crystal Rodriguez 01:06:39.740 --> 01:06:59.180 We can look at each of these individually. So if I look at the democracy without the children's note, I see that in the O O one oh there's an S H that indicates that it's LC subject heading and also in the SUBJJ fixed field, there is an A And again. 238 Crystal Rodriguez 01:06:59.380 --> 01:07:19.260 If I were to click on that, I could be taken to that documentation to get additional information. But to go back, if I look at the democracy children's, I see SJ in the O one oh, and I see a sub field B in the SU BJJ. So that's how we know the difference between an. 239 Crystal Rodriguez 01:07:20.180 --> 01:07:36.300 An LCSH topical heading or authority record or a children's authority record. Now in most cases, you're gonna find that the records are very similar, but in some they are actually different. So let me go back and show an example of that. 240 Crystal Rodriguez 01:07:40.380 --> 01:07:44.580 So this time I'm going to, I'm gonna search for Barry Treasurer. 241 Crystal Rodriguez 01:07:47.940 --> 01:08:06.380 And I want to actually search for that in children's headings, children's subjects, so I'm gonna use that dropdown and I get the record that shows Barry treasure. I'm gonna double click on that so that I can look at the full record and I can see a couple of things here. I can again see that B in the subject and the SUBJ fixed field. 242 Crystal Rodriguez 01:08:06.620 --> 01:08:26.819 And I see that the one fifty here is buried treasure, and that this is an SJ in the O one oh. So that tells me that the children's heading, the controlled children's heading would be buried treasure. Now, what's different is if I search for this same item, but I search in lcs. 243 Crystal Rodriguez 01:08:26.980 --> 01:08:27.299 H. 244 Crystal Rodriguez 01:08:29.140 --> 01:08:44.700 I see that there are two records, so I'm gonna double click and look at both of those records. I'm going to double click the first tier to see the, with the one fifty cause that's the authorized form. And that's again, that children's heading, but I want to actually go back and I want to look at this four fifty. 245 Crystal Rodriguez 01:08:46.540 --> 01:09:06.339 And there I see that I'm taking to the LCSH heading, which is actually treasure Troves, and again I can confirm that this is the LCSH with the buried treasure being a four fifty in this case. So it's just an example if you are doing some children's cataloging and you're using. 246 Crystal Rodriguez 01:09:06.740 --> 01:09:11.819 Children's subjects, you do want to make sure you're paying attention to those items to distinguish those two. 247 Crystal Rodriguez 01:09:15.180 --> 01:09:25.540 Now, what if I want to find the authorized form of a title? For example, what is the correct form for the uniform title for Excel? So I'm going to go ahead and go to authorities browse. 248 Crystal Rodriguez 01:09:27.259 --> 01:09:34.660 And LC again. LCHS, and here I'm gonna enter in Excel because that's all I really know. I'm just gonna look for Excel. 249 Crystal Rodriguez 01:09:36.259 --> 01:09:38.060 But I'm gonna choose titles. 250 Crystal Rodriguez 01:09:39.500 --> 01:09:40.140 Click ok. 251 Crystal Rodriguez 01:09:41.900 --> 01:10:02.260 And I see lots of different records, but I need to again double click through to make sure I'm getting to the correct record. If I click on this Excel two thousand, then I'm taking to the correct authority record that shows that Excel two thousand was a four XX reference here, but I see that Microsoft Excel computer file is the correct form. 252 Crystal Rodriguez 01:10:02.980 --> 01:10:09.860 Of that uniform title. So that's what I would be using in my building graphic record. Okay. 253 Crystal Rodriguez 01:10:13.140 --> 01:10:16.620 I'm not seeing any additional questions yet, so I'm gonna keep moving forward here. 254 Crystal Rodriguez 01:10:19.420 --> 01:10:20.420 Alright, so. 255 Crystal Rodriguez 01:10:23.020 --> 01:10:42.340 For another option, you can search by those subdivision headings. Authority records for subdivisions are in the tag one eight X These are used as V subfield V for form, subfield X for general, sub field Y for chronological, and sub field Z for geographic subdivisions in bid records. So. 256 Crystal Rodriguez 01:10:43.300 --> 01:10:46.020 We're gonna browse a subdivision heading, so let's look at. 257 Crystal Rodriguez 01:10:47.940 --> 01:10:49.020 And again example here. 258 Crystal Rodriguez 01:10:51.220 --> 01:10:54.580 I'm going to enter in environmental aspects. 259 Crystal Rodriguez 01:10:58.820 --> 01:11:02.380 But I'm going to change this from titles down to. 260 Crystal Rodriguez 01:11:04.180 --> 01:11:05.020 Subdivision heading. 261 Crystal Rodriguez 01:11:07.700 --> 01:11:21.060 And I'm just gonna go ahead and click OK, and I can see first of all, nice thing to point out is that you do see that sub field X here, so I'm gonna go ahead and double click that record. I'm going to look at the main entry one eight zero. 262 Crystal Rodriguez 01:11:23.060 --> 01:11:27.220 And there's a couple of things to note here. I see the O seven three, which kind of breaks down. 263 Crystal Rodriguez 01:11:29.460 --> 01:11:42.980 The subdivision usage and along with that I can also see the six eight zero that indicates when this subdivision should be used. So there's a note telling me to use this as a topical subdivision under several different categories here. 264 Crystal Rodriguez 01:11:47.780 --> 01:11:48.660 And then let's see. 265 Crystal Rodriguez 01:11:50.700 --> 01:11:58.940 We'll go ahead and do one more of those. We'll look at foreign relations in that same way. So let's look at Browse and I'm gonna change that to foreign relations. 266 Crystal Rodriguez 01:12:03.380 --> 01:12:21.740 And again, I'm gonna double click to get to the main entry here, and actually in this example I see both at LCSH and a children's. Again, I want to look at the LCSH, and again I see that O seven three that tells me a little bit about which categories to use this in, subdivision usage, and the note about. 267 Crystal Rodriguez 01:12:23.180 --> 01:12:28.900 Regions countries, and group countries. And I also can note that forem relations can be subdivided geographically. 268 Crystal Rodriguez 01:12:31.220 --> 01:12:31.420 Alright. 269 Crystal Rodriguez 01:12:33.660 --> 01:12:40.100 So far our last browse example, let's take a look at a genre heading. so let me go ahead and X out of all of this. 270 Crystal Rodriguez 01:12:42.100 --> 01:12:59.420 So the authorized form of genre headings would appear in the off authority record marked tag one five five. so these are the six five five fives in the bid records. So looking here auth authorities browse LC subjects again, going to clear out my previous search. 271 Crystal Rodriguez 01:13:00.980 --> 01:13:03.060 And I'm just gonna enter in sat Tires. 272 Crystal Rodriguez 01:13:06.780 --> 01:13:10.100 And then I'm going to change my dropdown. 273 Crystal Rodriguez 01:13:11.860 --> 01:13:21.060 To Genrera and check click ok and I see a couple of options here. excuse me. Sorry, I feel a sneeze coming on excuse me. 274 Crystal Rodriguez 01:13:23.340 --> 01:13:27.540 I see sad tires comics, and sad tires literature I want to look at the literature. 275 Crystal Rodriguez 01:13:29.820 --> 01:13:32.300 So I'm gonna double click on that and I see that the. 276 Crystal Rodriguez 01:13:34.180 --> 01:13:43.500 Authorized form is satira co literature, and the four XX field that is satire's literature. So I would be using ceteriical literature. 277 Crystal Rodriguez 01:13:45.420 --> 01:13:45.740 Okay. 278 Crystal Rodriguez 01:13:50.900 --> 01:13:52.100 I'm gonna jump over here for a second. 279 Crystal Rodriguez 01:13:54.820 --> 01:14:14.220 Alright, so similarly to connection or to working with bibliographic records, you also do have the option to export authority records. There is a one time setup for that, and that we will show here in a moment under the tools menu and then options and then export. And then the action to export, you would use. 280 Crystal Rodriguez 01:14:15.100 --> 01:14:31.660 Export the action menu or you can use your toolbar or your shortcuts. So let's go ahead and actually start looking at that in connection. I don't see any other questions so far about the, searching or browsing, but again, go ahead and add those as they come up. All right, so oops. 281 Crystal Rodriguez 01:14:33.180 --> 01:14:40.540 Oh darn. It doesn't want to open up for me hold on a second. There we go. All right. So let's go ahead and close that. 282 Crystal Rodriguez 01:14:42.140 --> 01:15:01.660 And let's talk about setting up for export. So, again, that's under the tools options and then export menu. Now, I have already set up an export destination for my bibly graphic records, so you're gonna choose an export destination and it will be the same for your bib and authority records. 283 Crystal Rodriguez 01:15:03.340 --> 01:15:08.820 But you can actually have multiple export destinations, so like, for example, if you know you're gonna be working with. 284 Crystal Rodriguez 01:15:11.460 --> 01:15:15.860 Authority records for a while and you want to just export those, you can create a second destination. 285 Crystal Rodriguez 01:15:18.660 --> 01:15:25.460 But you just would need to remember to switch back and forth, so, then we're gonna look at record characteristics. 286 Crystal Rodriguez 01:15:26.940 --> 01:15:46.180 And here you'll note that under bible graphic records, we have multiple options for record standards, so we have Mark twenty one, Dublin cores, et cetera. with authority records, we only have marked twenty one as an option and but we do have two options for the character set. so with record characteristics, you can set that up. 287 Crystal Rodriguez 01:15:47.420 --> 01:15:59.500 Different from your biographic records to your authority records if needed. So you would set that up here and click OK, and then you also do have your field export options. We talked about the bibly graphic record options. 288 Crystal Rodriguez 01:16:00.940 --> 01:16:21.100 In that class. So again, here I'm just demonstrating that you can choose different fields to delete for your biller graphic records and your thirty records. So let's say that you don't want to delete I don't know the a three XX No, you wouldn't probably. Yeah let's go with a four xx. Maybe you don't want to export. 289 Crystal Rodriguez 01:16:23.300 --> 01:16:33.780 See also references. So you would type that in here under authority records. It is important to remember that, though, that this is the entire field tag, so you can't choose specific. 290 Crystal Rodriguez 01:16:35.380 --> 01:16:52.580 Sub fields etc. it's, it's it's either all six fifties or all six X's or no none. So just keep that in mind when you're considering what to export there or what to remove before you export. so once you make those changes, then you would click apply and then click OK. 291 Crystal Rodriguez 01:16:56.540 --> 01:17:07.660 And then let's go ahead and demonstrate exporting a record. So I'm going to go ahead to those records that I've already saved. I've got those saved in my local file. I'm going to go ahead and open up one of those records. 292 Crystal Rodriguez 01:17:09.940 --> 01:17:28.180 And the process is just like with your bibliographic records. Once you have an authority record open, so let's say I'm gonna go ahead and I'm going to click on the authority record for earthquakes, and I'm going to have that authority record open and I want to export this record. So to do that, I can go ahead and choose. 293 Crystal Rodriguez 01:17:29.820 --> 01:17:49.060 Action, export or I can use the toolbar or my shortcut, now connection doesn't really give me a notice that that's happened and it just kind of quickly happens, but the way that I can tell is if I look down at my status bar, I can see that export now shows with a C for complete. 294 Crystal Rodriguez 01:17:52.100 --> 01:17:53.100 And we can go ahead and do that again. 295 Crystal Rodriguez 01:17:55.380 --> 01:18:06.540 And then let's say, so let's say this time I want to remove I want to export the economic aspects and note that right now my status bar does not show that C If I choose to export. 296 Crystal Rodriguez 01:18:11.060 --> 01:18:15.180 Quickly ca I now see the C there and then I would be able to go to that. 297 Crystal Rodriguez 01:18:16.700 --> 01:18:20.220 Export destination and see the exported records. 298 Crystal Rodriguez 01:18:22.940 --> 01:18:23.140 Alright. 299 Crystal Rodriguez 01:18:26.180 --> 01:18:32.420 I don't see any additional questions. I'm gonna wait just a moment here to see if anybody has anything and if not, I've got another question for you guys. 300 Crystal Rodriguez 01:18:41.460 --> 01:18:41.660 Alright. 301 Crystal Rodriguez 01:18:44.060 --> 01:18:44.780 Let me go over here. 302 Crystal Rodriguez 01:18:52.900 --> 01:18:54.260 So I'm gonna go ahead and open this up for you. 303 Crystal Rodriguez 01:18:56.580 --> 01:19:16.180 So which menu path will allow you to search for authority records? Are you going to go to the cataloging menu and then search or use your F two key? Are you going to use authorities, then search, then LC names and subjects or the shortcut of shift F two? Are you using authorities show. 304 Crystal Rodriguez 01:19:17.340 --> 01:19:18.900 Or cataloging than show? 305 Crystal Rodriguez 01:19:26.860 --> 01:19:29.380 I see some answers coming through, so we'll just wait a few moments there. 306 Crystal Rodriguez 01:19:48.580 --> 01:20:08.420 Okay, looks like just about everybody had an answer to a chance to answer that and yes, the answer there is B so you're going to go to the authorities menu, then search, then LC names and subjects or you can use that keystroke of shift plus F two or I don't have it on here, but if you have added a button to your toolbar, you can also use that. 307 Crystal Rodriguez 01:20:11.100 --> 01:20:19.060 Alright. So those are the only questions that I have for you guys. I don't see anything new coming in, but I'm gonna take a pause to see maybe somebody's typing or. 308 Crystal Rodriguez 01:20:20.620 --> 01:20:22.420 Forming those questions there. 309 Crystal Rodriguez 01:20:33.580 --> 01:20:38.500 Okay I do see a question. What does the process of automatic update of linked headings look like? 310 Crystal Rodriguez 01:20:40.460 --> 01:20:42.820 Doesn't I'm not sure, are you referring to link data. 311 Crystal Rodriguez 01:20:45.740 --> 01:20:47.300 Like the newer linked data option? 312 Crystal Rodriguez 01:20:50.900 --> 01:20:53.420 Or are you saying like when we control a heading. 313 Crystal Rodriguez 01:20:55.500 --> 01:20:58.460 And then so if if the heading's not controlled and then you control it. 314 Crystal Rodriguez 01:21:00.420 --> 01:21:04.700 Connection will just show you that hyperlink that should show that it's controlled. 315 Crystal Rodriguez 01:21:13.100 --> 01:21:22.780 Yeah, so if it's controlled, you'll see that it's hyperlinked. so I I showed that, let me go back to connection and just show you an example of that. let's pull up that one record that I had. 316 Crystal Rodriguez 01:21:28.220 --> 01:21:29.380 Sorry let me get that open for you. 317 Crystal Rodriguez 01:21:31.620 --> 01:21:51.260 So looking at the record that we were working with, right now these headings are not controlled, but if I go ahead and choose control all headings, quickly I see the connection flat, it sort of just flashes, it just happens automatically, but now I see that those headings are underlined indicating that those are now control. 318 Crystal Rodriguez 01:21:54.740 --> 01:21:58.700 And then I'm able to click on each of those controlled headings to go to that authority record. 319 Crystal Rodriguez 01:22:00.420 --> 01:22:01.060 And get more information. 320 Crystal Rodriguez 01:22:03.420 --> 01:22:04.380 Alright, let me see. 321 Crystal Rodriguez 01:22:06.220 --> 01:22:24.780 Do you see a couple more questions, but how does OCLC automatically update the records in the individual libraries? So Vesna, we, we don't, so you're going to control the headings and then you're going to export the writing with the, the record with that controlled heading, and then it'll, it should go into your local system. 322 Crystal Rodriguez 01:22:27.380 --> 01:22:33.980 I see a question. When I export a record, I get a pop up saying the record was loaded into my system. Is that an option in setup? 323 Crystal Rodriguez 01:22:35.780 --> 01:22:56.060 Yeah Darlene I think that it sounds like you are, you have a TCIP connection set up in your exports, so when you go to the tools options export menu, you should, you'll, you should see a destination there that indicates that. if you're having issues with that or you. 324 Crystal Rodriguez 01:22:56.180 --> 01:22:59.940 Want to change that, I would recommend reaching out to our support team and they can walk you through that. 325 Crystal Rodriguez 01:23:02.500 --> 01:23:07.180 Or looking through their, there's information on our help site about setting up that export destinations as well. 326 Crystal Rodriguez 01:23:12.380 --> 01:23:14.180 Alright, any other questions? 327 Crystal Rodriguez 01:23:22.180 --> 01:23:25.540 Okay, I'm gonna go ahead. 328 Crystal Rodriguez 01:23:29.580 --> 01:23:31.060 One second, I see something else coming through. 329 Crystal Rodriguez 01:23:35.260 --> 01:23:35.540 I'll. 330 Crystal Rodriguez 01:23:40.980 --> 01:23:56.300 All right. I'm gonna do a little more research after the class and just follow up on that process for you Guysna on just making sure that those, that you have the information on how those are, those controlled headings are passed over to your local system, so I'll follow up with you after the class on that. 331 Crystal Rodriguez 01:23:59.180 --> 01:23:59.500 Okay. 332 Crystal Rodriguez 01:24:02.660 --> 01:24:21.820 Alright, so is LC names? I see another question coming through a couple other questions here. Let's see. Is the names and subjects headings history a history of your authority record searches? Yes I believe so, let me look at that real quick. let's go back into here. So Michael, what you're referring to is if you go to authorities. 333 Crystal Rodriguez 01:24:22.060 --> 01:24:42.020 Search, you see LC names and subjects history. So actually no what that is, is, if I were to search an item here, I can actually see previous versions of that. So let me go grab, for example, that, let me find what my example of an l. 334 Crystal Rodriguez 01:24:42.380 --> 01:24:50.420 C C N here, and I'll enter that in for you, just be one moment. I know it was eight two something. trying to find out where I had that. 335 Crystal Rodriguez 01:24:52.580 --> 01:24:57.100 Well here let's just do it by a keyword. Let's go. So if I look up Columbus crew. 336 Crystal Rodriguez 01:25:00.260 --> 01:25:00.900 I'm gonna do. 337 Crystal Rodriguez 01:25:03.500 --> 01:25:05.220 Let's do Columbus crew here. 338 Crystal Rodriguez 01:25:08.580 --> 01:25:23.940 And change this from LCCN to, I think I can do heading. Let me see. Yes, so what I see there, I can see the history of when that item was added and replaced and previous versions of that authority record. 339 Crystal Rodriguez 01:25:26.180 --> 01:25:30.260 So that's what that is. It just allows you to see, some previous. 340 Crystal Rodriguez 01:25:31.820 --> 01:25:51.940 Versions. But Michael, your searches are kind of saved for a little while, so if you go to authorities browse, I believe, yeah, if you click on the little dropdown here, I can see my previous searches. if you're trying to go back and say, what was that that I searched, I can do that there. Okay, do you. 341 Crystal Rodriguez 01:25:52.140 --> 01:26:11.020 Export every authority record in your bib or do they just come through with the bib? you do not need to export every authority record so they would come through with your bible graphic record, so you would not need to export, like, I think the main purpose for exporting a bit an authority record would be. 342 Crystal Rodriguez 01:26:13.540 --> 01:26:32.860 If you need to somehow put that into your local system or if you're just maybe trying to pass that information on to someone, ok, so I see another question here, does OCLC offer a service for a one time mass load of authority records into your local systems? Lisa, not that I'm aware of, but I would suggest. 343 Crystal Rodriguez 01:26:33.100 --> 01:26:37.540 That you send that question to our support team and they maybe able to find out if that's available for you. 344 Crystal Rodriguez 01:26:39.740 --> 01:26:48.100 And Michael, I'm pretty sure that that saves those searches for quite some time, not just until you log out, but I haven't tested that. 345 Crystal Rodriguez 01:26:52.700 --> 01:27:08.620 But I'm pretty sure like actually when I looked at that just now, I saw some searches that I had performed prior to today. So I'm yeah, like this, this last one here I searched that yesterday, a couple days ago before logging off. So I think it maybe saves the first the last ten searches or something like that. 346 Crystal Rodriguez 01:27:11.860 --> 01:27:30.380 Okay, all good questions. I hope I'm able to address those. If not I definitely will get back to you. I know there's a there's at least one scenario that I'm gonna get back to everyone on, and yeah, I know in some cases it might just be better to confirm that with our support team. Just because they can kind of get some more information. 347 Crystal Rodriguez 01:27:30.820 --> 01:27:50.820 On your systems and what your end goal is, please, specifically Lisa, that's why i'm referring you to them, and for anyone that's not aware, I'm gonna get to that here.
